Communications Assistant & Bookkeeper

Job Description
The Communications Assistant/Bookkeeper position reports to the pastor/priest (Communications Assistant duties 8-10 hours per week) and to the treasurer (Bookkeeper duties 5-10 hours per week) of All Saints in Big Sky.
 
Compensation: Hourly rate DOE
 
Communications Assistant Duties
  • Help format and produce weekly worship bulletins and announcements
  • Assist with weekly e-newsletter production (Friday News)
  • Maintain website and Facebook page
  • Publicize church information and events to the greater community
  • Continue regular updates to congregational stewardship, mailing lists, and photo directory
  • Assist with all member mailings (2-3 per year)
  • Monitor weekly livestreamed services through FB and YouTube page
  • Secure maintenance of office equipment as needed
  • Maintain a monthly timesheet and submit to Treasurer within 5 business days of the beginning of the month
  • Assist Pastor/Priest as requested (other duties as assigned)
  • Opportunities for special projects and professional development, as desired
 
Bookkeeper Duties
  • Maintain the financial books of All Saints in Big Sky using Quickbooks software
  • Provide monthly balance sheet, profit and loss, profit and loss relative to budget and other financial statements to the treasurer by the fifteenth of each month
  • Establish and maintain a list of pledges each year, processing them in Quickbooks
  • Provide a letter to each person pledging as to the status of their pledge in early November each year
  • Write a year-end giving letter to parishioners by the end of January (for the preceding year)
  • Complete Workers Compensation Insurance audit
  • Process W-2’s and 1099’s
  • Pay all invoices, monthly bills, reimbursement requests and other check requests from the Pastor/Priest, Treasurer and President of the Joint Council
  • Maintain all files for insurance policies, pledges, personnel, contracts, and inventory of All Saints
  • Organize and prepare for the annual audit
 
Location
  • The bulk of job responsibilities can be performed at home.
  • Weekly presence in Big Sky is necessary to access the office copier, Big Sky PO office, and to perform weekly banking duties as needed.
  • Our place of worship is the Big Sky Chapel in the Meadow Village of Big Sky.
 
Preferred Attributes
  • We prefer this to be a combined position with the individual performing the duties of both Bookkeeper and Communications Assistant. However, they can be divided if necessary.

  • Basic experience with Excel spreadsheets, Google Docs, Word, and/or other data management platforms preferred. Experience with Wordpress (our website platform) and Quickbooks preferred.
  • Basic experience with (amateur) videography preferred, but not necessary
  • Basic knowledge of the Church Year calendar preferred, but not necessary
  • Able to maintain confidentiality
