Job Description

Yellowstone Club's Community Foundation has an exciting opportunity on their team. We are currently seeking a Director of Foundation Operations. The purpose of the Director of Operations is to drive the key operational and administrative functions to ensure the Community Foundation has the infrastructure needed to continue the organizations success and impact.  

Major Responsibilities

  • Support the VP of Philanthropy in setting and driving organizational vision, strategy and operations; the Director of Operations internal focus will allow the VP of Philanthropy to engage externally with critical strategic partners, funders, committee and board members.
  • Translate strategy into actionable goals for performance and growth, helping to implement organizational-wide goal setting, performance management and annual operating plan.
  • Oversee the key operational areas of the Community Foundation: Communications, Donor Records, Fundraising Events, Finance, and Informational Technology. Monitor performance in these areas and establish new systems to support organizational growth.
  • Partner with the Director of Community Partnerships to execute systems and strategies for effective grantmaking and community impact.
  • Analyze internal operations and identify areas for improvement; develop consistent processes and systems such as contracts.
  • Support V.P. of Philanthropy to ensure systems and records are in place for both donor cultivation and stewardship.
  • Contribute to building a highly inclusive culture where team members can thrive and achieve outcomes.
  • Recruit, hire, and retrain both administrative and fund development support staff to reach organizational goals.
  • Maintain up-to-date knowledge of all federal state, and local business and regulatory requirements and ensure compliance. Adhere to organization, federal, state, and local requirement, enforcing compliance and taking action when necessary.
  • Analyze internal operations and identify areas for improvement; develop consistent processes and systems such as contracts.
  • Serve as liaison for Yellowstone Club support staff including but not limited to; accounting, HR, marketing and events.

Marketing & Communication:

  • Oversee the development and implementation of a comprehensive multi-media communication plan that will inform members, employees, and the community of the mission and achievements of the foundation.
  • Provide content and lead project management for YCCF’s outreach materials including website, appeal letters, newsletters, electronic communications, print materials and social media.
  • Communicate the foundation’s mission and exemplify its core values.

Core Systems Management:

  • Identify and implement opportunities to achieve greater efficiencies and accuracy
  • Develop and maintain internal controls and handbooks for; financial management, budget development, recruitment, onboarding, performance management, communication and project management.
  • Oversee development of all Foundation software systems i.e. Salesforce,
  • Develop reports and processes to monitor progress of Foundation goals.
  • Troubleshoot issues and work with vendors and partners to resolve.

Donor Stewardship:

  • Support VP of Philanthropy to develop and implement a donor stewardship program that acknowledges and recognizes donors in a timely and meaningful manner. 
  • Update and maintain a current donor database and ensure all associated tax acknowledgment forms are sent to the donors within a timely manner with the support of an administrative coordinator.
  • Oversee maintenance and internal staff training of donor database.

Fund Development:

  • Support VP of Philanthropy to develop and implement an annual fundraising plan.
  • Oversee all aspects of planning, set up and follow up work for the Yellowstone Club Community Foundation fundraising events including smaller in-home events, concerts, Wieskopf Cup Golf Tournament, Black Diamond events with the support of an events staff.
  • Lead annual appeal program including development of materials, managing mailing lists, and coordinating mailing itself.


  • Participate in short and long-range strategic planning to ensure an understanding of predetermined operational and special project fundraising goals.
  • Implement the Foundation’s mission and vision
  • Represent the Foundation to the local community, Yellowstone Club constituencies and guests, and other stakeholders, such as the news, media, and government officials
  • Assist VP of Philanthropy with preparation and record keeping of all Board Meetings.

  • Other duties as assigned
  • Must be able to work flexible work hours/schedule including evenings, weekends and holidays.  Long hours may be required due to business demands.

Experience/Education Required

  • BA (required), MA (a plus)
  • 5- 10 years’ experience in non-profit leadership or business management.
  • Demonstrated excellence in organizational, managerial, and communication skills
  • Be a self-start and goal driven
  • Valid Driver License  

This is a Full Time Year Round position located in Big Sky, Montana!
